For ongoing clients, keep stable terms in the main agreement and specify rooms, dates, team size, and prices in each project schedule. Make clear which document controls if terms differ.

Close the loop on packages

If a package includes 12 organizer-hours, record the number used after each visit and send the balance. Explain expiration, transfers, refunds, and unused time in locally reviewed terms before payment.
