Define unavailable before you define a charge

A client may be home but unable to provide building access. Define the waiting window, how you will contact them, and when the team will leave. A no-show is different from a timely cancellation and should be described separately.

Use a calm arrival script

Make it your own
Hi [name], we’ve arrived for your [time] appointment and haven’t been able to reach you. Please call [number] so we can arrange access. We’ll wait until [time], then follow the missed-appointment terms in our agreement.

Document what happened

Record arrival time and contact attempts. Do not photograph the client’s home or belongings merely to prove a missed appointment. Review the circumstances before applying any previously agreed, locally reviewed fee.
