Say what the payment is for

A deposit applied to labor, a prepaid block of hours, and money held for product purchases are different arrangements. Name the purpose, where it appears on the invoice, and when it will be credited.

Make the math visible

Estimated organizing labor: [amount]
Booking payment: [amount], applied toward [specified charges]
Remaining estimated balance: [amount]
Product budget: [amount, only if approved]
Refund and cancellation terms: [locally reviewed policy]
A revised scope requires approval before additional charges.

Separate estimates from permission

An estimated product budget is not authorization to buy whatever fits within it. Agree on a purchase limit and approval process. Reconcile receipts and any unspent amount after the project rather than burying it in labor charges.
