A last-minute cancellation can leave a travel gap or an entire team without paid work. Decide what notice you need, which contact channel counts, and how you handle illness or emergencies. There is no universal legally safe fee or notice period.
Draft the policy in plain language
Please send cancellation or rescheduling requests to [contact]. Requests received at least [notice period] before the appointment are handled as follows: [terms]. Later requests are handled as follows: [locally reviewed terms]. If an emergency affects your appointment, contact us as soon as possible. If we must cancel, we will offer [reschedule/refund terms]. Statutory consumer rights are unaffected.
Make it visible at the right moments
Include the terms in your proposal and signed agreement, then reference them in the confirmation. Keep a dated copy of the policy the client accepted. If you make an exception, record it and communicate the outcome without blame.
